WPC is looking for an Administrative Assistant to help with the food pantry and general church administration. The job is part time and flexible with some opportunity to work from home. To get the full job description keep reading below:

WPC Administrative Assistant – Food Pantry & Church Office

HOURS: 14 hours/week, days flexible; some remote work acceptable with own equipment

Compensation: $20/hour; vacation time is accrued annually to 4 weeks/year

The Administrative Assistant at Windsor Presbyterian Church (WPC) is supervised by the Pastor of WPC (currently Rev. Mary Beene), who can help prioritize tasks.  Additional tasks may also be requested by the Elders and the Deacons of WPC and the food pantry/mission board.

Skills needed:

  • Ability to communicate clearly in English, in person, on the phone, and in writing; Spanish a plus
  • Experience with email and internet use, including online newsletter software (MailChimp) and internet forms and signups
  • Proficiency with Microsoft Office products including Word, Excel, PowerPoint and Publisher, as online Google products, like Google docs and Google Drive
  • Organizational skills – able to track time, file, and break down projects into manageable tasks and then prioritize those tasks in a dynamic environment
  • Ability to work alone
  • Experience in a small office setting is highly desirable

Job Duties:

  • Weekly communications and church bulletins.  Includes soliciting content from leaders, timely creation of Mail Chimp newsletters and schedules, formatting and organizing information for church bulletins and inserts, copying, folding, and filing as required.
  • Sort and distribute mail, retrieve voice mail and email, and forward in a timely manner
  • Keep all mailing/contact lists and directories, nametags, volunteer lists, and membership lists current and accurate
  • Prepare and respond to correspondence, including welcome letters, in writing and electronically, as needed or requested.
  • Maintain attendance logs for the congregation and all databases and logs for the food pantry; produce and copy worksheets, forms, and labels
  • Maintain an inventory of office supplies, including postage stamps.  Arrange for vouchers as needed to purchase supplies.
  • Answer phones and greet visitors during office hours; make phone calls to food pantry donors and volunteers; answer questions, make referrals or respond as appropriate.
  • Tidy sanctuary weekly; update bulletin boards as needed; maintain key inventory
  • Update the online calendar (Google), food pantry logs, and website, as needed
  • Schedule weekly food bank shopping using online tools, manage information on food donations, track follow up on grants and reporting for donors
  • Create and get signatures on vouchers and other paperwork as assigned by food pantry/mission board members
  • Keep detailed track of hours for proper billing of administrative time to food pantry donors
  • Other duties as needed according to the Pastor, Elders, Deacons and food pantry/mission board

Physical Requirements: Use standard office equipment and access, input, and retrieve information from a computer. Use computer keyboard with manual and finger dexterity and wrist-finger speed sufficient to perform repetitive actions efficiently for extended periods of time. Communicate effectively in person or via telephone in a manner, which can be understood by those with whom the person is speaking, including a diverse population. Give and follow verbal and written instructions with attention to detail and accuracy. Collect, interpret, and/or analyze complex data and information. Coordinate multiple tasks simultaneously. Reach forward, up, down, and to the side. Sit for minimum periods of one hour at a time and stand for filing and mailboxes for up to 30 minutes at a time. Lift up to 10 pounds.
